About the position Skepsis Legal Solutions is hiring a legal assistant to support our quickly growing business law firm. As a legal assistant, you will find yourself at the center of the legal process, playing an essential role in managing and organizing the firm’s cases. You will be a critical part of our team that provides exceptional service and representation to our firm’s roster of top-notch local business clientele. The legal assistant is a specialist in administrative support, playing a pivotal role as a gatekeeper, case manager, and trusted team player. Successful candidates are highly organized and proactive. They have at least 2 years prior experience managing high-volume caseloads in a fast-moving firm. They love learning new things, both with the team and on their own, and they find new things to learn whether directed to or not. They love grammar and Oxford commas. They enjoy a good game of calendar Tetris (you know how organizing those busy attorney calendars goes). They are team players who also enjoy working independently in our hybrid work environment. Responsibilities

  • Maintain client files, including case contacts (which can number in the hundreds).
  • Proactively manage and maintain attorney calendars (in G-Suite) to schedule meetings (which may be work-related or personal) and resolve conflicts.
  • Act as both a liaison and gatekeeper to help manage and protect the attorney’s time.
  • Screen, direct, and prioritize incoming calls and emails to lawyers.
  • Manage attorney email inbox.
  • Keep your legal team on track by monitoring and managing team adherence to deadlines.
  • Make travel arrangements for teammates.
  • Proofread and format Word documents, including using advanced features such as “styles” and pivot tables.
  • Act as a project manager to monitor and manage case deadlines, and support the team members responsible for meeting those deadlines.
  • File legal documents with the courts.
  • Communicate with clients, witnesses, experts, court representatives, mediators, and others to move cases forward.
  • Prepare damages summaries and complex spreadsheets.
  • Proactively add and manage information to files as new information comes in. Keep all documents and files organized.
  • Maintain strict confidentiality regarding client and firm information.
  • Other duties as assigned.

Requirements

  • Have at least 2 years prior experience as a legal assistant managing high-volume caseloads.
  • Hold an associate degree in a relevant field, such as business administration, office management, legal studies, or similar; OR hold a legal secretary certificate or certification from NALA, NALS, or a similar certifying national organization.
  • Pass a background check.
  • Have a valid driver’s license and means of transportation to and from the office and off-site meetings (within Kootenai/Bonner County).
  • Provide your own computer, high-speed internet connection, and any accessories for performing daily work.
  • Demonstrate exceptional written and verbal communication skills, as well as organizational and time management skills.
  • Be tech-savvy and enjoy learning new software and systems through experimentation and research.
  • Available outside normal working hours for occasional early morning or after-hours meetings, with at least one week advance notice.
  • Excellent grammar and proofreading; Oxford comma is a must as well as two spaces between sentences.
  • Professional communication by phone, email, and in person.
  • Ability to maintain and juggle rapidly shifting priorities.
  • Ability to tell clients, teammates, and others “no,” and offer solutions.
  • Extremely organized.
  • Keen attention to detail.
  • Microsoft Word, including advanced features in formatting and use of styles.
  • Microsoft Excel and/or Google Sheets, including advanced formulas and pivot tables.
  • Google Calendar and Gmail.
