Position Overview

The Remote Customs Trade Coordinator – Data Entry Specialist plays a critical role in ensuring that import and export documentation is accurate, compliant, and processed efficiently. This full‑time, remote position is based in the United States, with a primary focus on the New York market, but offers the flexibility to work from any location within the country. You will be the bridge between internal teams, external partners, and government agencies, guaranteeing that every shipment meets customs regulations and internal standards.

Key Responsibilities

  • Provide immaculate customer service by responding promptly to inquiries from internal stakeholders, carriers, and external clients.
  • Enter, verify, and reconcile customs clearance data from multiple sources, including internal systems, SOPs, tariff books, websites, and customs portals.
  • Prepare, review, and submit import‑related documentation (e.g., commercial invoices, packing lists, certificates of origin) to U.S. Customs and Border Protection (CBP) and other relevant agencies.
  • Maintain and update shipment records in accordance with regulatory retention requirements and arenaflex’s internal data‑management policies.
  • Ensure compliance with all international import and export regulations, including Incoterms, trade agreements, and hazardous material guidelines.
  • Collaborate closely with internal departments—such as Operations, Finance, Compliance, and Customer Service—to deliver a high level of service to clients.
  • Process corporate financial shipments, including invoicing, payment reconciliation, and expense tracking.
  • Perform remote filings and electronic submissions as required by customs authorities and trade partners.
  • Uphold all administrative and hierarchical procedures, ensuring that documentation follows arenaflex’s standard operating protocols.
  • Utilize multiple software platforms and reference materials to resolve discrepancies, answer client questions, and support continuous improvement initiatives.
  • Assist with ad‑hoc projects, special audits, and process‑enhancement tasks as assigned by management.

Essential Qualifications

  • High School Diploma (HS) or GED required; a Bachelor’s degree is preferred but not mandatory.
  • Minimum of six months of relevant work experience in data entry, logistics, or a related field is desirable.
