Position Overview

arenaflex is seeking a highly organized, detail‑oriented Remote Executive Assistant & Data Entry Specialist to provide comprehensive administrative support to the Executive Vice President of Development. This role is pivotal in ensuring seamless communication, precise scheduling, and meticulous tracking of project documentation for our Ride Development team. The successful candidate will work remotely, collaborating with cross‑functional teams, vendors, and senior leadership to keep the development pipeline moving efficiently.

Key Responsibilities

  • Executive Support: Manage the calendar, schedule meetings, and coordinate travel arrangements for the Executive Vice President of Development, ensuring optimal time management and prioritization of critical initiatives.
  • Communication Hub: Answer incoming calls, screen inquiries, and route messages to appropriate stakeholders while maintaining a professional and courteous demeanor.
  • Data Entry & Documentation: Accurately log, track, and archive all incoming project materials, design specifications, and vendor submissions using arenaflex’s secure data management platforms.
  • Project Coordination: Work closely with the Ride Development team to translate high‑level concepts and storyboards into detailed engineering requirements, ensuring that all technical specifications are captured and organized.
  • Collaboration with Cross‑Functional Teams: Partner with design, engineering, safety, and procurement groups to gather and consolidate requirements, interface details, and compliance documentation.
  • Process Management: Lead daily activities of the design and development team through all project phases—concept, modeling, fabrication, testing, installation, and hand‑over—by maintaining up‑to‑date task lists, status reports, and milestone trackers.
  • Risk & Compliance Oversight: Assist in the preparation and maintenance of safety analysis reports, risk assessments, and regulatory compliance documentation for each ride project.
  • Vendor Liaison: Serve as the primary point of contact for external contractors, managing contracts, bid submissions, and performance monitoring in collaboration with the procurement team.
  • Technical Documentation: Support the creation and revision of detailed design drawings, 3‑D models, and engineering calculations using industry‑standard software tools.
  • Continuous Improvement: Identify opportunities to streamline administrative processes, improve data accuracy, and enhance communication flow across the development organization.

Essential Qualifications

  • Minimum of 3‑5 years of experience providing executive‑level administrative support, preferably in a fast‑paced engineering or entertainment environment.
  • Proven ability to manage complex calendars, schedule high‑stakes meetings across multiple time zones, and coordinate travel logistics.
  • Exceptional data entry skills with a strong eye for detail; experience with document management systems and cloud‑based collaboration tools (e.g., SharePoint, Google Workspace, Confluence).
  • Solid understanding of mechanical engineering concepts such as statics, dynamics, materials science, and stress/strain analysis.
  • Familiarity with design software (SolidWorks, AutoCAD, Navisworks, SketchUp, ANSYS, MATLAB, or similar) is highly desirable.
  • Demonstrated ability to interpret technical drawings, specifications, and safety standards.
  • Excellent written and verbal communication skills, with the ability to convey complex information clearly to both technical and non‑technical audiences.
  • Strong organizational skills, proactive problem‑solving attitude, and the capacity to thrive in a remote work setting.
  • Experience working with theme park or entertainment projects, or prior exposure to Disney‑type environments, is a plus.

Preferred Qualifications

  • Bachelor’s degree in Business Administration, Engineering, or a related field.
  • Experience supporting senior leadership in a multinational corporation or large‑scale project environment.
  • Knowledge of industry safety standards (e.g., ASTM F2291, EN 13814) and familiarity with risk assessment methodologies.
  • Track record of managing vendor contracts, bid processes, and procurement activities.
  • Ability to produce clear, concise reports and presentations for executive review.
  • Fluency in additional languages (Spanish, French, Mandarin) to support global project teams.
