Position Overview

The Remote Data Entry Specialist at arenaflex is responsible for executing daily reconciliation, trade, and transfer activities for alternative investment products. This role ensures that all transaction data is accurately captured, discrepancies are identified and resolved, and corporate actions are processed in a timely manner. The specialist works closely with internal service teams, external fund administrators, transfer agents, and other third‑party partners to maintain the integrity of client and advisor accounts.

Key Responsibilities

• Transaction Processing: Accurately enter and validate trade, transfer, and dividend transactions for a variety of alternative investment vehicles.
• Reconciliation & Break Resolution: Perform detailed reconciliation of field, dividend, and transfer breaks; investigate root causes and coordinate remediation with fund administrators and internal stakeholders.
• Corporate Actions Management: Process corporate activity events (e.g., mergers, spin‑offs, distributions) and ensure proper accounting and client communication.
• Exception Handling: Identify and resolve exceptions that arise between arenaflex and fund companies, providing clear documentation and corrective actions.
• Regulatory Compliance: Apply governing rules (e.g., Rule 2340, Rule 15c3‑3) to maintain compliance and mitigate risk.
• Technology Testing & Validation: Participate in testing of new system enhancements, vendor updates, and automation tools; validate results against business requirements.
• Client & Advisor Support: Respond to inquiries from service partners, advisors, and clients regarding transaction status, eligibility, and alternative investment requirements.
• Documentation & Reporting: Generate daily, weekly, and monthly reports on reconciliation status, break trends, and resolution timelines.
• Collaboration: Work closely with arenaflex Clearing, fund companies, transfer agents, and third‑party service providers via email, phone, Slack, Outlook, and Salesforce.
• Continuous Improvement: Contribute ideas for process automation, workflow optimization, and risk reduction initiatives.

Essential Qualifications

• Bachelor’s degree in Finance, Business Administration, Accounting, or a related field, or equivalent work experience.
• Minimum of 2 years’ experience in data entry, trade reconciliation, or corporate actions within the investment industry.
• Strong understanding of alternative investment products (e.g., hedge funds, private equity, real assets).
• Demonstrated ability to interpret and apply regulatory guidelines such as Rule 2340 and Rule 15c3‑3.
• Proficiency with industry‑standard platforms (e.g., Bloomberg, FactSet) and familiarity with Salesforce or similar CRM tools.
