Key Responsibilities

As a Remote Customer Experience Specialist at arenaflex, you will be entrusted with a wide range of responsibilities that directly shape the customer journey. Your day-to-day work will blend customer engagement, operational support, and brand representation. Below is a detailed overview of what this role entails:

Customer Engagement & Experience

  • Welcome customers warmly and professionally across multiple communication channels, including phone, chat, and email, creating a positive and lasting first impression.
  • Listen actively to customer needs, identify concerns, and provide thoughtful, timely, and effective solutions that exceed expectations.
  • Model and champion arenaflex’s customer service best practices, including friendly greetings, attentive listening, respectful communication, and a proactive approach to problem resolution.
  • Build rapport with customers by demonstrating genuine care, patience, and a commitment to resolving inquiries on the first contact whenever possible.
  • Handle escalated customer issues with professionalism and empathy, ensuring each customer feels heard, valued, and satisfied with the outcome.

Sales & Transactional Support

  • Accurately process customer transactions, including sales, returns, exchanges, refunds, voids, and rain checks using company systems and point-of-sale platforms.
  • Recommend complementary and promotional products to enhance the customer’s shopping experience and meet their needs.
  • Collect payments, issue receipts, and handle cash and card transactions with precision and accountability.
  • Maintain accurate records of all transactions and follow established procedures for handling financial discrepancies.

Product Knowledge & Recommendations

  • Stay up to date on arenaflex’s full range of products and services, including over-the-counter health items, beauty products, household essentials, photo services, and seasonal promotions.
  • Provide expert guidance on product usage, availability, pricing, and store policies to help customers make informed purchasing decisions.
  • Promote loyalty programs, rewards, and special offers to eligible customers, helping them maximize value from their shopping experience.

Inventory & Merchandising Support

  • Assist with monitoring stock levels and identifying when products need replenishment or special ordering.
  • Support the visual merchandising of product displays, ensuring shelves, end caps, and promotional setups are clean, organized, and aligned with brand standards.
  • Help manage product rotation using first-in, first-out (FIFO) practices, particularly for perishable and consumable items.
  • Receive and price incoming shipments as directed, maintaining accurate inventory records.

Compliance & Safety

  • Ensure full compliance with all federal, state, and local regulations regarding controlled products such as alcohol and tobacco, including age verification procedures.
  • Follow arenaflex’s asset protection protocols to identify and prevent potential losses, including theft, fraud, and operational shrink.
  • Adhere to all company policies, procedures, and ethical standards, maintaining confidentiality and professionalism at all times.

Store Presentation & Maintenance

  • Contribute to maintaining a clean, organized, and welcoming store environment, both inside and outside the physical locations.
  • Support the setup and breakdown of seasonal displays, promotional signage, and product showcases.
  • Report maintenance issues, safety concerns, or operational challenges to the appropriate team members in a timely manner.

Digital & Photo Services Support

  • Assist customers with photo-related services, including digital photo printing, passport photos, banner printing, and creative photo product recommendations.
  • Monitor and process online orders, including Picture Care Plus requests, and ensure timely fulfillment and customer communication regarding order status.

Training & Continuous Improvement

  • Complete all required training modules, performance learning plans (PPLs), and certification programs as assigned by leadership or corporate teams.
  • Actively participate in team meetings, coaching sessions, and professional development opportunities to grow your skills and advance your career.
  • Stay informed on company updates, new product launches, policy changes, and service enhancements.

Qualifications

Basic Requirements

  • Fluency in reading, writing, and speaking English (except in Puerto Rico).
  • Willingness to work a flexible schedule, including evenings, weekends, and holidays as needed.
  • Reliable high-speed internet connection and a dedicated, distraction-free home workspace.
  • Comfort with technology, including navigating multiple software platforms, CRM tools, and point-of-sale systems.
  • Strong interpersonal and communication skills, with the ability to convey warmth, professionalism, and clarity in every customer interaction.

Preferred Qualifications

  • Six months of prior experience in a retail, pharmacy, or customer service environment.
  • Previous work experience with arenaflex or a similar pharmacy/retail brand.
  • Demonstrated ability to thrive in a remote work setting with minimal supervision.
  • Experience handling escalated customer concerns or complex transactions.
  • Multilingual skills are a plus and may qualify candidates for additional incentives or roles.
