About the Role

This is not your average customer service job. As a Voice Customer Service Representative at arenaflex, you will be the first point of contact for potential customers engaging with our Beauty industry client. Your mission will be to handle a high volume of inbound and outbound calls, conduct engaging virtual meetings, and provide responsive SMS support to manage and qualify potential leads. You will be the voice that helps prospective customers navigate their journey, ensuring they feel heard, valued, and confident in choosing the services being offered.

This role is ideal for someone who is motivated, target-oriented, and genuinely enjoys talking to people. You do not need to be a beauty industry expert — we will provide the training and resources you need. What we are looking for is your ability to listen actively, communicate clearly, think on your feet, and consistently deliver exceptional service with a customer-centric mindset.

Key Responsibilities

  • Manage Inbound and Outbound Calls with Confidence: Handle a steady stream of incoming calls from prospective customers while also making outbound calls to nurture and qualify leads. Every interaction is a chance to represent arenaflex and our client with professionalism, warmth, and expertise.
  • Conduct Virtual Qualification Meetings: Schedule and lead virtual meetings with potential customers to verify their qualifications for specific beauty procedures and services. You will guide them through the qualification process with clarity, patience, and respect, ensuring they understand every step.
  • Provide Multi-Channel SMS Support: Respond to inquiries and follow up with leads via SMS in a timely, friendly, and brand-consistent manner. Strong written communication skills are essential to succeed in this part of the role.
  • Identify Customer Needs and Deliver Tailored Solutions: Listen carefully to each caller, identify their unique needs, clarify any questions or concerns, research the issue when needed, and provide thoughtful, effective solutions that move the customer journey forward.
  • Accurately Document Customer Interactions: Gather, record, and maintain detailed information about each customer interaction in our CRM systems. Accuracy and attention to detail are critical to ensuring the customer service process runs smoothly and efficiently.
  • Maintain Exceptional Customer Satisfaction: Go above and beyond to deliver a service experience that leaves a lasting positive impression. Build rapport, show empathy, and consistently exceed customer expectations.
  • Collaborate Across Teams: Work closely with sales, operations, and client success teams to ensure lead quality, share insights, and continuously improve the customer experience.
  • Stay Current on Product and Service Knowledge: Keep up to date with the latest beauty industry trends, client offerings, and procedural requirements so you can speak with authority and confidence on every call.

Essential Qualifications

  • Fluent English Communication Skills: You must be highly proficient in spoken and written English, with the ability to communicate professionally, clearly, and persuasively across phone, video, and SMS channels.
  • Full-Time Availability: You must be available to work 40 hours per week, Monday through Friday, from 10:00 AM to 7:00 PM Eastern Time. Consistency and reliability are essential.
  • Adaptability and Flexibility: Comfort with shifting priorities, evolving client needs, and a variety of customer personalities is a must. You should be able to pivot quickly while maintaining composure and professionalism.
  • Independent and Team-Oriented Work Ethic: You should be self-motivated, capable of managing your own time and tasks effectively, while also contributing positively to a collaborative remote team environment.
  • Excellent Communication and Interpersonal Skills: You should be a natural people-person who enjoys building rapport, resolving concerns, and turning inquiries into positive outcomes.
  • Strong Organizational Skills and Attention to Detail: You should be meticulous in documenting customer interactions, following up on leads, and ensuring no detail is overlooked in the qualification process.

Preferred Qualifications

  • Prior experience in customer service, data entry, sales, or a similar client-facing role is highly valued but not required.
  • Experience working remotely or in a virtual team environment is a strong plus.
  • Familiarity with CRM platforms, virtual meeting tools, and SMS communication systems is beneficial.
  • A background or interest in the beauty, wellness, or lifestyle industry is a bonus, though full training will be provided.
  • A proven track record of meeting or exceeding performance metrics such as call volume, conversion rates, or customer satisfaction scores.
