Recording Specialist

Performs quality control review of closing documents. Manages recording process. Follows up on outstanding releases. Job Duties and Responsibilities (Essential Job Functions) Common job activities are listed below; actual position responsibilities may vary.   • Responsible for various recording activities, which may include the following: (80-85%)
  • Handle all customer filing requests and coordinate requests with other departments. Respond to customer requests for information. Report recordings to customers within established time frames.
  • Review all recordings presented for filing to ensure that the documents are in recordable form. Pull and update all files to be recorded. Prepare documents for recording.
  • File documents in various county offices in a timely manner. Maintain system to document and track status of recordings. Provide copies of recorded documents back to responsible parties after recordation.
  • Compile information for reporting after recording is completed. May update recording blotters with filing information.
  • Comply with attorney opinions, customer requests, and company standards.
  • May review and file all releases and assignments from lenders after verifying that they are in the correct format.
  • May compile all notes and transfer to appropriate individuals. Update title certificates after recording.
  • May assist with post-closing issues regarding documents and their location.
  • Ensure that all funds necessary to record documents are collected prior to recording; prepare and send final invoices for fees not collected with recordings; may work with Finance/Accounting on month-end reconciliation. (10-15%)
  • Perform any additional responsibilities as requested or assigned. (0-5%)

Qualifications

Education:

  • Associate degree in business or equivalent knowledge and work experience.

Experience

  • 1 to 3 years’ experience in title company environment.
  • 1 to 3 years' experience working with vendors and customers.

Knowledge And Skills

  • Proficient computer skills (including word processing), typing skills, keyboard experience, and knowledge of AS400.
  • Excellent customer service skills.
  • Must exercise good judgment on a regular basis and have a high level of attention to detail.
  • Effective oral and written communication skills.
  • Effective analytical and problem-solving skills.
  • Ability to prioritize and handle multiple tasks and projects concurrently. Ability to work under deadline pressure.

Wage: $25.00 - $29.81 hourly; actual wage is based upon education and experience.
