Job Overview We are an innovative and agile product design agency actively seeking a detail-oriented Executive Assistant to join our remote team on a part-time contract basis. Key Responsibilities • Manage the leadership team’s calendar, ensuring meetings are organized and time is efficiently allocated. • Oversee email communications, responding promptly to important correspondence while maintaining professionalism. • Facilitate outreach efforts to potential clients and partners, ensuring clear and polished communication. • Utilize project management tools like ClickUp or Notion to track projects, deadlines, and tasks effectively. • Serve as a liaison for client and vendor communications, coordinating meetings and facilitating smooth interactions. • Conduct thorough research to gather insights on potential leads and vendors, presenting well-structured reports to aid decision-making. • Create video updates using asynchronous tools like Loom to keep clients and partners informed—comfort on camera is essential. Required Skills • Exceptional writing skills, with the ability to communicate clearly across various channels (email, phone, Slack, video). • Highly organized, detail-oriented, and proactive, with a passion for efficiency. • A curious mindset, open to learning and exploring new topics and tools. • Familiarity with marketing tools (e.g., website builders, Google Analytics, Canva) is advantageous. • Proven ability to juggle multiple tasks and projects simultaneously. • Previous remote work experience, with an understanding of the dynamics of independent work. • Tech-savvy, capable of quickly adapting to new tools (knowledge of Slack, ClickUp, or Loom is a plus). Qualifications • While previous experience as an assistant or in a similar role is preferred, we welcome applications from motivated quick learners as well.
