The Leave of Absence Administrator II is responsible for managing the communication and administrative processes between employees, managers, and the LOA vendor. This individual contributor role ensures that employee leave requests are processed accurately and efficiently, while maintaining compliance with company policies and legal requirements. The Administrator will provide exceptional service to employees and managers, support the effective administration of leave programs, and collaborate with the LOA vendor to ensure timely resolution of leave-related issues.

Responsibilities

  • Serve as the primary point of contact for employees and managers regarding leave of absence inquiries and ensure seamless communication between the organization and the LOA vendor.
  • Follow up on leave requests with the vendor, ensuring all required documentation is submitted and processed in a timely manner.
  • Manage the complex day-to-day administration of employee leave requests, including medical, personal, family, and other types of leave, ensuring accurate documentation and compliance with applicable laws (FMLA, ADA, etc.).
  • Manage the ADA process including making critical decisions on behalf of the company regarding ADA claims.
  • Oversee employee religious accommodation requests which involves collaborating closely with supervisors to assess the request and determine the feasibility of providing appropriate accommodations.
  • Provide guidance to employees regarding their leave options, rights, and responsibilities, and answer any questions related to their leave status.
  • Assist managers in understanding leave policies and ensure they are informed of their employees' leave statuses.
  • Provide clear and accurate communication to employees and managers regarding leave approvals, extensions, and return-to-work procedures.
  • Ensure compliance with relevant federal, state, and local leave laws and company policies, maintaining up-to-date knowledge of changes in regulations related to employee leave.
  • Collaborate with the legal team on complex leave of absence situations, laws and regulations and company process.
  • Collaborate with workers' compensation administrator regarding claims in connection with leave of absence claims.
  • Analyze and provide recommendations for employee separations.
  • Identify opportunities to streamline the leave of absence process and suggest improvements to enhance service and employee satisfaction.
  • Work collaboratively with HR, managers, and the LOA vendor to identify and resolve any inefficiencies in the leave administration process.

Requirements

  • 3 or more years of experience in leave of absence administration, preferably in a healthcare or similar setting with an Associate's degree in Human Resources or Healthcare Administration; Or 5 or more years of experience in leave of absence administration, preferably in a healthcare or similar setting with a High School Diploma or equivalent.
  • Requires prior experience partnering with vendors, leadership and legal.
  • Understanding of leave of absence laws and regulations (e.g., FMLA, ADA, state-specific regulations).
  • Excellent communication and interpersonal skills, with the ability to interact effectively with employees, managers, and external vendors.
  • Excellent organizational skills with the ability to manage multiple leave cases simultaneously and meet deadlines.
  • Attention to detail and accuracy in processing leave requests and maintaining records.
  • Ability to maintain confidentiality and handle sensitive employee information with discretion.
  • Proficient in MS Office Suite (Excel, Word, Outlook).
  • Prior experience with leave management systems.
