Tech Matters is a nonprofit organization that harnesses the power of technology to empower social sector innovators and drive large-scale positive change. Our flagship initiatives, Aselo and Terraso, are dedicated to supporting crisis response helplines and promoting regenerative local economies worldwide. As our ideal candidate, you'll be a strategic thinker, a creative problem-solver, and a dedicated team player who is eager to make a meaningful difference in the lives of others.

In this part-time role (10 hours/week), you'll be responsible for:

  • CEO Time Optimization: Ensure the CEO's time is maximized effectively, recommending and making adjustments to daily schedules based on shifting priorities.
  • Task Management: Align the CEO's tasks and projects with the organization's strategic objectives, tracking and ensuring follow-up action items are completed.
  • Communication Triage: Prioritize and assist in response to emails, calls, and requests addressed to the CEO, determining which require immediate attention and which can be deferred or delegated.
  • Calendar Management: Organize and schedule meetings, appointments, and events for the CEO, ensuring scheduling conflicts don't occur.
  • Document Preparation: Create, edit, and proofread business documents, presentations, and reports.
  • Meeting Coordination: Coordinate and oversee logistics for board meetings, company-wide events, and other initiatives, ensuring the CEO is well-informed and equipped to handle all discussions.
  • Feedback Loop: Act as a sounding board for the CEO, providing feedback on various matters from an operational perspective.
  • Team Liaison: Serve as a bridge between the CEO and the executive team, facilitating clear communication and ensuring organizational alignment.
  • Special Projects: Assist with or lead on special projects that drive social impact and support the organization's mission.

To excel in this role, you'll need:

  • Bachelor's degree or equivalent work experience.
  • Five years of experience as an Executive Assistant, preferably with direct experience managing or supporting a CEO or senior executive.
  • Exceptional organizational and multitasking skills, with the ability to think several steps ahead.
  • Excellent written and verbal communication abilities.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • High emotional intelligence, with the ability to anticipate needs and think critically.
  • Proven ability to handle sensitive and confidential information with discretion.
  • Adaptable and resilient in fast-paced environments, with a commitment to continuous learning and improvement.
